A Transaction Type represents one type of transaction that a User can create on the system and will appear as a choice in the User's Transaction Type drop down box when the choose to create a new Transaction. For example, if you want your Users to be able to create Transactions for new loans, then you would create a Transaction Type that you might call "Loan Transaction". When Users then select the Type of Transaction they wish to create, they will see "Loan Transaction" as one of their choices.
Because Transactions generally require multiple documents to memorialize them, when you create a Transaction Type to represent a Transaction Type, you can add one or more Templates that would be a part of the required package of documents for the given Transaction type.
Creating a Transaction Type
To create a new Transaction Type, follow these steps:
- Access the Create Transaction Type screen - From the Content Administration Main screen, click the Create Transaction Type button in the top right corner of the Transaction Types list. This will launch the Create Transaction Type screen.
- Enter Basic Transaction Type Information - Enter a screen name for the Transaction Type. Keep in mind that the screen name you provide will be the name for the Transaction type that End Users will select from their drop down list of available Transaction types. Therefore the name must make sense to your End Users. In our banking example, this Transaction Type is for Loan Transactions, so the Template name could be "Loan Transactions".
- Select how to refer to Customers for this Transaction type - When creating a new Transaction of the Transaction type represented by your new Transaction Type, a User will be able to add or associate and external Account to the Transaction. You may wish to refer to these external users by a name that is specific to the type of Transaction. Select the choice from the Refer to entities for which documents created as: drop down list that most closely matches what you'd like to call customers.
- Select whether your Transaction Type is Production or BETA - Templates may be designated as either Production Transaction Types or BETA Transaction Types. Production Groups are live for all Users to work with as soon as they are connected to a User Group through an Interview. BETA Groups are similarly associated with a User Group, but will only be seen in the drop down list of available Transaction types for those users who given the permission to Use BETA Transaction Types. You can change a Transaction Type's designation from one choice to another later on by editing it.
- Save the Transaction Type - Click the Create button at the bottom of the screen to create your new Transaction Type. You will then return to the Content Administration Main screen.
Editing Transaction Type Details
If you wish to change the name or description of a Transaction Type, follow these steps:
- Access your Template - From the Content Administration Main screen, in the Templates Groups list, click the Edit button in the row corresponding to the Transaction Type you wish to edit.
- Make your desired changes - Enter your desired information in the Transaction Type Name text box, the Refer to entities for which documents created as: drop down list, and the Transaction Types Status selection.
- Save your Selections - Click the Save button at the bottom of the screen to save your selections. You will then return to the Content Administration Main screen.
Add Templates, Remove Templates and Configure Template Conditionality
Because transactions often require Users to create multiple Documents, you will need to add to your Transaction Type one Template for each Document the could be produced. Often, there are certain documents that are required only in certain cases, so Templates can be conditionally included in Transaction Types. This means that the Document it produces would be included in the Transaction's document package only if certain answers are given by Users in the Interviews.
Add Templates to a Transaction Type
To add a Templates to your Transaction Type, follow these steps:
- Access your Transaction Type - From the Content Administration Main screen, in the Transaction Types list, click the Edit button in the row corresponding to the Transaction Type into which you want to place your Template. This will bring up the Edit Transaction Type screen.
- Connect your Template with the Transaction Type - In Edit Templates in Transaction Type section of the page, select your Template from the Select Template: drop down list.
- Indicate any desired Conditionality - If your Template generates a Document that should be included in the document package only under certain conditions (rather than all the time), you can indicate this by entering conditionality. To do so, enter a variable name from the Interview into the Variable in Data Set text box, then enter the value it should have to fulfill the conditionality into the Required Answer text box. PLEASE NOTE: The values you enter into either box are not case sensitive.
- Add the Template to the Transaction Type - Click the Add button to add the selected Template to the Transaction Type.
- Save your Selections - Click the Save button at the bottom of the Edit Transaction Type screen to save your selections. You will then return to the Content Administration Main screen.
Remove Templates from a Transaction Type
To add a Templates to your Transaction Type, follow these steps:
- Access your Transaction Type - From the Content Administration Main screen, in the Transaction Types list, click the Edit button in the row corresponding to the Transaction Type from which you want to remove a Template. This will bring up the Edit Transaction Type screen.
- Remove your Template from the Transaction Type - In the Templates in Transaction Type grid in the Edit Templates in Transaction Type section of the page, click the Remove link for the Template you wish to remove.
- Save your Selections - Click the Save button at the bottom of the Edit Transaction Type screen to save your selections. You will then return to the Content Administration Main screen.
Configure Template Conditionality within a Transaction Type
To add a Templates to your Transaction Type, follow these steps:
- Access your Transaction Type - From the Content Administration Main screen, in the Transaction Types list, click the Edit button in the row corresponding to the Transaction Type in which you want to edit a Template's conditionality. This will bring up the Edit Transaction Type screen.
- Remove your Template from the Transaction Type - In the Templates in Transaction Type grid in the Edit Templates in Transaction Type section of the page, click the Edit Conditionality link for the Template you want to edit. This will display the Edit Template Conditionality popup.
- Set the desired Conditionality - Enter the desired new variable name from the Interview into the Variable in Data Set text box (or leave it blank for no conditionality). Then add the value it should have to fulfill the conditionality into the Required Answer text box. PLEASE NOTE: The values you enter into either box are not case sensitive. Click the Save button to exit the popup.
- Save your Selections - Click the Save button at the bottom of the Edit Transaction Type screen to save your selections. You will then return to the Content Administration Main screen.
Configure User Group Access (by editing Transaction Types)
In order to allow Users to access an Interview for a given Transaction Type, you'll need to associate the User Groups for your Users to your Transaction Types that represent your various Transaction types and specify an Interview to be used by the Group when creation Transactions for the given Transaction Type.
The instructions below cover how to add, remove or modify Transaction Type access for User Groups.
Add Transaction Type Access for a User Group
To add Transaction Type access for a User Group, follow these steps:
- Access your Transaction Type - From the Content Administration Main screen, in the Transaction Types list, click the Edit button in the row corresponding to the Transaction Type into which you want to place your Template. This will bring up the Edit Transaction Type screen.
- Connect a User Group with the Transaction Type - In Edit User Group Access to Transaction Type Interviews section of the page, select a User Group from the Select User Group: drop down list. To distinguish User Groups across all Accounts, the system lists Groups followed by the Account name in parentheses.
- Select the Associated Interview - In the Associated Interview: drop down box, select the Interview that members of the selected User Group will access to create or work on transactions for the given Transaction Type.
- Select a Static Seed File (optional) - In the Static Seed File: drop down box, select the static seed file (in Excel format) to pre-populate all interviews accessed by this User Group for this Transaction type.
- Provide a Custom Name for the Interview Button (optional) - In the Interview Button Label: text box, provide a custom name for the interview button when this Transaction Type is accessed by the User Group. You can either type in a text value, which will be used as the button name. Or you can enter a value enclosed by braces "{}" to indicate an interview variable whose current value will be used as the name of the button.
- Grant Access - Click the Grant Access button to connect the selected User Group to the Transaction Type.
- Save your Selections - Click the Save button at the bottom of the Edit Transaction Type screen to save your selections. You will then return to the Content Administration Main screen.
TIP - When selecting a User Group to grant access to a Transaction Type, then list will display all Users Groups from all Accounts under your Provider Account. To distinguish User Groups, the system lists Groups followed by the Account name in parentheses.
Remove Transaction Type Access from a User Group
To remove Transaction Type access from a User Group, follow these steps:
- Access your Transaction Type - From the Content Administration Main screen, in the Transaction Types list, click the Edit button in the row corresponding to the Transaction Type from which you want to remove a Template. This will bring up the Edit Transaction Type screen.
- Remove Transaction Type Access - In the User Groups With Access grid in the Edit User Group Access to Transaction Type Interviews section of the page, click the Remove link for the User Group you wish to remove.
- Save your Selections - Click the Save button at the bottom of the Edit Transaction Type screen to save your selections. You will then return to the Content Administration Main screen.
Configure Transaction Type Access for a User Group
To configure Transaction Type access for a User Group, follow these steps:
- Access your Transaction Type - From the Content Administration Main screen, in the Transaction Types list, click the Edit button in the row corresponding to the Transaction Type you want to edit. This will bring up the Edit Transaction Type screen.
- Access User Group Interview Configuration - In the User Groups With Access grid in the Edit User Group Access to Transaction Type Interviews section of the page, click the Change Interview link for the User Group you want to edit. This will display the Change Transaction Type Interview popup.
- Select the desired Interview - Select the desired Interview from the Select Associated Interview: drop down box. Your available Interviews in the list come from a combination of Default Interviews uploaded to the system with Templates and Additional Interviews uploaded to your Transaction Types in the system. Click the Save button to exit the popup.
- Select a Static Seed File (optional) - In the Static Seed File: drop down box, select the static seed file (in Excel format) to pre-populate all interviews accessed by this User Group for this Transaction type.
- Provide a Custom Name for the Interview Button (optional) - In the Interview Button Label: text box, provide a custom name for the interview button when this Transaction Type is accessed by the User Group. You can either type in a text value, which will be used as the button name. Or you can enter a value enclosed by braces "{}" to indicate an interview variable whose current value will be used as the name of the button.
- Save your Selections - Click the Save button at the bottom of the Edit Transaction Type screen to save your selections. You will then return to the Content Administration Main screen.
TIP - When connecting User Groups and Transaction Types, the system enforces certainly restrictions. A User cannot be connected to the same Transaction Type through more than one Interview. To ensure this, the system will not allow you to connect any Transaction Type to a User Group, if a User in the Group is already connected to the Transaction Type through another Interview. If Users in the Account are in multiple groups and are connected to Transaction Type already, these Groups may be missing from your Transaction Type drop down list.
Configure User Group Access (by editing User Groups)
Connecting a User Group to a Transaction Type can be done either through editing the Transaction Type (as described above), or from the other direction, by editing the User Group to enable access to a given Transaction Type. Editing the User Group to add Transaction Type access (if you have the required permission to do so) is the best practice method, since it allows you to configure additional setting that are not available while editing a Transaction Type.
Add Transaction Type Access for a User Group
- Access the Manage Account Module - From the Link Menu at the top left corner of your screen, click the Manage Accounts link. This will bring you to the Manage Accounts screen, which displays your own account plus a list of the Accounts under your Account. From here you can see information on Accounts and perform various actions on them.
- Select the Manage User Groups module for the Account you wish to edit - From the Manage Accounts screen, in the Manage Account list, click the Manage User Groups icon
in the row corresponding to the Account you wish to edit. This will bring up the Edit Product screen.
- Access the User Group to which you will associate your Transaction Type - From the Manage User Groups screen, in the list of User Groups, click the Edit icon
in the row corresponding to the User Group to which you will add Transaction Type access. This will bring up the Edit User Group screen.
- Associate the User Group to a Transaction Type - In the Transaction Type Access section, select the Transaction Type you want to connect with this User Group from the Transaction Type drop down box. Next select the Interview through which this User Group will access the selected Transaction Type (i.e. this User Group's Interview for this type of Transaction) from the Associated Interview drop down box. Next in the Workflow Options area, select the capabilities you would like this User Group to have when working on this type of Transaction by clicking the check box next to the desired item. Possible choices include:
- Assign - The ability for the Users in the Group to manually assign Transactions of this type to another User Group.
- Finalize - The ability for the Users in the Group to mark Transactions of this
- Generate Documents - The ability for the Users in the Group to manually assign Transactions of this type as being Finalized.
- Publish Data Sets - The ability for the Users in the Group to generate document for Transactions of this type (depending also upon view/generating permissions detailed below).
- Redraft - The ability for the Users in the Group to access the Interview for Transactions of this type.
- Grant Access to the Transaction Type for the User Group - Click the Grant Access button to associate the selected Transaction Type to the User Group through the selected Interview.
- Save your Selections - Click the Save button at the bottom of the screen to save your selections. You will then return to the Manage User Groups screen. You can then return to the Content Administration Main screen by clicking the Content Administration menu item in the main menu at the top right of the screen.
TIP - When connecting User Groups and Transaction Types, the system enforces certainly restrictions. A User cannot be connected to the same Transaction Type through more than one Interview. To ensure this, the system will not allow you to connect any Transaction Type to a User Group, if a User in the Group is already connected to the Transaction Type through another Interview. If Users in the Account are in multiple groups and are connected to Transaction Types already, these Groups may be missing from your Transaction Type drop down list.
Remove Transaction Type Access from a User Group
To remove Transaction Type access from a User Group, follow these steps:

- Access the User Group from which you will remove your Transaction Type - From the Manage User Groups screen, in the list of User Groups, click the Edit icon
in the row corresponding to the User Group from which you will remove Transaction Type access. This will bring up the Edit User Group screen.
- Remove Transaction Type Access - In the Transaction Type grid in the Transaction Type Access section of the page, click the Remove icon
for the Transaction Type (labeled as Transaction Type) you wish to remove from the given User Group. In the confirmation popup box click the Remove button.
- Save your Selections - Click the Save button at the bottom of the screen to save your selections. You will then return to the Manage User Groups screen. You can then return to the Content Administration Main screen by clicking the Content Administration menu item in the main menu at the top right of the screen.
Configure Transaction Type Access for a User Group
To configure Transaction Type access for a User Group, follow these steps:

In the popup select the Interview through which this User Group will access the selected Transaction Type from the Select Associated Interview drop down box. Next in the Workflow Options area, select the capabilities you would like this User Group to have when working on this type of Transaction by clicking the check box next to the desired item. Possible choices include:

Viewing Transaction Type Interviews
Interviews are groups of questions arranged in a specific order that are presented to Users to gather their data about transactions. A User Group is connected to a Transaction Type through a specific Interview - such that each User Groups can be presented its own interview for a given Transaction type that is customized to its role in the Transaction.
One of the most common ways to upload Interviews to the system is to upload them as Additional Interviews that are associated with a specific Transaction Type. A Transaction Type can contain multiple Interviews that can then be connected with the various User Groups that can create the given type of Transaction.
The topic of Additional Interviews is covered in full detail in the help article on Working with Interviews, however to quickly view the Interviews associates with a given Transaction Type, follow these steps:
- Access your Transaction Type - From the Content Administration Main screen, in the Transaction Types list, click the Additional Interviews button in the row corresponding to the desired Transaction Type. This will display the Transaction Type Interviews screen.
Deleting a Transaction Type
To delete a Transaction Type, follow these steps:
- Select the Transaction Type to delete - From the Content Administration Main screen, in the Transaction Types list, click the Delete link in the row corresponding to the Transaction Type you wish to delete.
- Confirm your action - Confirm the delete by clicking the Delete button in the confirmation popup box.
TIP - You cannot delete a Transaction Type which contains Templates.
WARNING: Deleted Transaction Types cannot be restored. Please be sure you wish to delete your Transaction Type before doing so.
