Interviews are groups of questions arranged in a specific order that are presented to Users to gather their data about transactions. A User Group is connected to a Transaction Type through a specific Interview - such that each User Groups can be presented its own interview for a given Transaction type that is customized to its role in the Transaction.
Interviews can be uploaded to the system in one of two ways:
- Template-Contained Interviews - One way to upload an Interview is to create (or have your HotDocs template automator create) an interview as part of a Template package. Interviews contained inside Templates will be available Interviews for any Transaction Type which contains the given Template.
- Additional Interviews - The most common way to upload Interview is to create them as Interview-Only packages in HotDocs and associate them with a specific Transaction Type (i.e. for a specific Transaction type). A Transaction Type can contain multiple Interviews that can then be connected with the various User Groups that can create the given type of Transaction.
TIP - Longer Interviews will render more quickly in the browser if they are created as Interview-Only HotDocs packages and uploaded as Additional Interviews within a Transaction Type.
TIP - Uploading Interviews as Additional Interviews within a Transaction Type is more convenient and is a best practice, because Template-Contained Interviews do not appear in any lists within the system except for the Interview selection drop down when giving User Groups access to Transaction Types.
Accessing Interviews
Additional Interviews
Additional Interviews are associated with specific Template Sets. Therefore the first step in creating, editing or updating Additional Interviews is to access the Additional Interviews Module within the Transaction Type with which they are associated. To access the Additional Interviews Module for a given Transaction Type, follow these steps:
- Access the Additional Interviews area - From the Content Administration Main screen, in the Transaction Types list, click the Additional Interviews button in the row corresponding to your desired Transaction Type. This will display the Transaction Type Interviews screen.
Template-Contained Interviews
Since a Template-Contained Interview is embedded within a document Template, they can be viewed only by viewing the containing Template. To do this, refer to the article on Working with Templates.
The rest of this article pertains to Interviews that are Additional Interviews connected with a specific Transaction Type. For Template-Contained Interviews, refer to the articles on Working with Templates.
Creating an Additional Interview
Creating and uploading Additional Interviews to a specific Transaction Type is important step in creating content for an Account's Users. To create and upload a new Additional Interview, follow these steps:
- Obtain the HotDocs Package File version for your desired Additional Interview - All Interviews used on the Document Agility are created in a commercially available document assembly software called HotDocs. There are two ways to obtain the HotDocs Interview-Only Package File:
- If you are the creator of the HotDocs Interview-Only Template - From within your HotDocs Developer Template List, right click the Interview-Only Template you wish to publish, click Upload then click Save Locally. At the screen which follows click OK to save a local copy of the Package File for your Interview-Only Template (which has a file extension of .hdpkg). See the appropriate HotDocs documentation for additional details.
- If you are solely the Document Agility Content Provider - Ask the HotDocs Template creator to provide the Interview-Only Package File to you by following the steps above.
- Access the Additional Interviews area - From the Content Administration Main screen, in the Templates Groups list, click the Additional Interviews link in the row corresponding to the Transaction Type you wish to work with. This will display the Transaction Type Interviews screen.
- Access the Create Additional Interview screen - From the Transaction Type Interviews screen, click the Upload New Interview button in the top right corner of the Transaction Type Interviews list. This will launch the Upload New Interview screen.
- Enter Basic Interview Information - Enter a screen name and description for the Interview. Keep in mind that the screen name you provide will be the name of the Interview when it is available in the drop down list of available Interviews in the Edit Transaction Types and Edit User Groups areas for connecting User Groups to content through a soecific Interview.
- Choose the HotDocs Interview-Only Template Package File to upload - Click the Choose File button and browse to the correct HotDocs Interview-Only Template Package File on your computer that contains the Interview-Only Template you wish to upload.
- Upload the Template - Click the Upload button at the bottom of the screen to start the upload process. Once the Interview-Only Template is uploaded, you will return to the Transaction Type Interviews Main screen. Click the Close button to return to the Content Administration Main screen.
Editing Additional Interview Details
If you wish to change the name or description of a Template, follow these steps:
- Access the Additional Interviews area - From the Content Administration Main screen, in the Transaction Types list, click the Additional Interviews link in the row corresponding to your desired Transaction Type. This will display the Transaction Type Interviews screen.
- Access your Additional Interview - From the Transaction Type Interviews screen, in the Transaction Type Interviews list, click the Edit link in the row corresponding to your desired Additional Interview. This will display the Edit Interviews screen.
- Make your desired changes - Enter your desired information in the Interview Name and Description text boxes.
- Save your Selections - Click the Save button at the bottom of the screen to save your selections. You will return to the Transaction Type Interviews Main screen. Click the Close button to return to the Content Administration Main screen.
Using an Interview to connect User Groups to Content
The primary purpose of uploading Interviews, whether as Additional Interviews or Template-Contained Interviews, is to use them to connect User Groups to specific Transaction Types. The process of connecting User Groups to Transaction Types is covered in detail in the Configure User Group Access section of the article on Working with Transaction Types.
Deleting an Additional Interview
If you wish to delete a Template, follow these steps:
- Access the Additional Interviews area - From the Content Administration Main screen, in the Transaction Types list, click the Additional Interviews link in the row corresponding to your desired Transaction Type. This will display the Transaction Type Interviews screen.
- Delete the Desired Additional Interview - From the Transaction Type Interviews screen, in the Transaction Type Interviews list, click the Delete button in the row corresponding to the Additional Interview you wish to delete.
- Confirm your action - Click the Delete button in the confirmation popup.
WARNING: Deleted Additional Interviews cannot be restored. Please be sure you wish to delete your Additional Interview before doing so.
Uploading a New Additional Interview Version
One of the primary reasons to use a document automation system such as Document Agility is the ability to react quickly to changes in best practices, regulations, and organization requirements by making changes to the Interviews that drive document production. Whenever you or your HotDocs template developer makes a change to an Additional Interview, you would upload the new version of the Additional Interview to the Document Agility system.
Document Agility allows you to upload an updated Additional Interview as a new Interview Version of an existing Interview. This way, you do not have to re-configure the access rights for the User Groups that currently using the Interview to access Transaction Type. Your updated Additional Interview will continue to enable the same content connections as the original Additional Interview and will simple be considered as a new Version of the original Additional Interview.
To upload a new Additional Interview Version, follow these steps:
- Obtain the Interview-Only HotDocs Package File version for your updated Additional Interview - Either save your updated Interview-Only template and package it as an .hdpkg file in HotDocs or obtain the Package File for the updated Interview-Only Template from your HotDocs Template creator.
- Access the Additional Interviews area - From the Content Administration Main screen, in the Transaction Types list, click the Additional Interviews link in the row corresponding to your desired Transaction Type. This will display the Transaction Type Interviews screen.
- Access your Additional Interview - From the Transaction Type Interviews screen, in the Transaction Type Interviews list, click the New Version link in the row corresponding to the Additional Interview you wish to update. This will display the Upload New Interview Version screen.
- Choose the HotDocs Interview-Only Template Package File to upload - Click the Choose File button and browse to the correct HotDocs Interview-Only Template Package File on your computer that contains the updated Template you wish to upload. The Version to be Created area will list the version number you will be creating.
- Upload the Interview-Only Template - Click the Upload button at the bottom of the screen to start the upload process. Once the Interview-Only Template is uploaded, You will return to the Transaction Type Interviews Main screen. Click the Close button to return to the Content Administration Main screen.
WARNING: When uploading a new Additional Interview Version, you must name the new Interview version's package file with a different name from all previous versions of the package name. It is considered best practice to name Interview-Only package files using a version number to help you identify your various versions.
