The process of creating a new Transaction in the Document Agility system makes use of Data Collection Interviews. These interviews are a series of dialogue screens which contain questions about the transaction you are recording. The interview will generally consist of several dialogues screens, each containing questions that are related to one aspect of the transaction. The interview that you access may have been customized specifically for members of your User Group and reflect your specific role in collecting data for new business transactions.
The interview may be accessed either by creating a New Transaction, or by clicking the interview access button from within the Transaction Details screen - which will either have a custom button name (like Enter Data or Review Answers) or be named "Access Interview". When you first enter the interview using one of these methods, you will see the first dialogue screen in the interview, which will look similar to the image below.
You will see a list of all of the interview's dialogues in the left pane of the screen. This is the Interview Outline. When you click one of these dialogues, the interview will display the dialogue's associated questions and answer fields in the right pane, or Dialog Pane.
To progress through the interview, answer the questions in each dialogue. To navigate through the dialogues, you may either begin at the first dialogue and, when you have completed it, click the Next button to move to the next dialogue, or you may click a dialogue in the Interview Outline. As you proceed through the interview, the interview's dialogues and potentially the questions within them may change depending on the answers you supply. New dialogues may appear, existing dialogues may disappear, or questions within dialogues may appear/disappear or become enabled/disabled. Since the interview changes as you progress through it, it is generally advisable to complete the interview dialogues in order.
In addition, as you proceed through the interview, the dialogue icons in the Interview Outline change appearance, indicating whether the questions in the dialog are unanswered, partially answered, or completely answered. If you have access the interview by clicking the Continue Interview button from within the Transaction Details screen, in some cases you may see questions highlighted in red type. These are unanswered questions - this indicates that the system does not have all of the information it needs in order to complete the documentation for the transaction and the highlighted questions must be answered in order to allow documentation to be created. In this case use the navigation buttons, Next Unanswered Question and Previous Unanswered Question to find all unanswered questions and supply the necessary information.
After the last dialog, the End of Interview dialogue appears indicating that you have completed you interview questions. Click the OK button or click the Finish button to exit the interview, after which you will see the Transaction Details screen to view detailed information about the transaction on which you are working.
TIP - When creating a Pattern Data Set, you will not be asked to select an output format for documents or a customer for which the pattern is being created.
PLEASE NOTE: The system displays unanswered questions in two fundamentally different. When working within an Interview, after you come to the last question, the system will display a popup box that may give you the number of questions you left unanswered - i.e. questions that were not given an answer in the Interview without regard to whether they are required to produce a given document.
This may be different than the number of unanswered questions displayed when you attempt to generate a given document and see a yellow unanswered triangle icon appear indicating unanswered questions that are actually required to produce the given document.
WARNING - The Internet browser session when you are answering interview questions expires in 90 minutes. If you are inside the interview for a longer period, your interview session may not close properly, but your answers will be saved by the system's auto-save feature.
